We are seeking a highly organised, energetic, and people-oriented facilities professional to support the Building Operations team in ensuring the Ministry can operate effectively, safely and sustainably in its new Head Office, following its move in February 2026.

The Workplace Coordinator is a new role within a recently established Building Operations team, which was designed to reflect the needs and expectations of our new, fit-for-purpose Head Office.  The team provides core facilities management services including reception, general management and maintenance of the premises, and the management of hosting and event spaces.

 

The role will be responsible for:

  • Coordinating and delivering real-time reactive maintenance including contractor liaison and after-hours support.
  • Supporting the maintenance and operation of the large Head Office conference spaces and large meeting rooms.
  • Adjusting room set up/layouts according to business needs and generally ensuring rooms are ready for booked meetings.
  • Monitoring and managing the kitchen and break-out spaces across the Ministry’s working floors to ensure these remain fully stocked.
  • Covering reception duties during team absences.

The full salary range for this role is between $54,481 and $69,615 total remuneration, inclusive of our 3% KiwiSaver employer contribution.

We’d like to hear from you if you are passionate about providing excellent customer service with the following skills and experience:

  • Minimum 1–3-year experience in a facilities/property management related role or trade
  • Demonstrated experience in managing trade suppliers/contractors in a corporate/government environment.
  • Experience in delivering solutions to low-level maintenance issues. 
  • Experience in monitoring and managing job request/workflow tools/systems.
  • Knowledge of meeting technology and collaboration solutions
  • Experience in responding to and managing stakeholder demands and expectations.
  • Knowledge of Modern/Activity Based Working principles.
  • Understanding of The Treaty of Waitangi/Te Tiriti, Te Reo Māori and Māori customs and protocols would be beneficial.
